The role
Supporting our technical team to develop and maximise sales. Management of info@ecologicalbuildingsystems.com e mail. Coordination and Administration of all training events, team meetings and staff training on-line and in person.
Key Responsibilities:
Manage Info@ Enquiries
Effective management of the Info@ mailbox by:
- Regular review and acknowledgement of all enquiries received.
- Responding as relevant, requesting further information and/or forwarding to relavant internal team for further action.
- Logging all relevant data on HubSpot and ensuring any attachments, response etc is synchronised to HubSpot.
- Regular review process to ensure timely response to all info@ enquiries by internal teams.
Training Co-Ordination
- Co-ordinate all training offered by Ecological Building Systems including:
- Set the training calendar for the year.
- Arrange internal speakers and assist with external speakers as required.
- Book Teams links etc.
- Send email reminders to all delegates beforehand.
- Ensure that everything runs smoothly on the day
- Post training follow-up with certificates, feedback requests and analysis.
- Liaise with external training partners as required to confirm all relevant details.
- Ensure presentation templates and graphical content is up to date with latest design guidelines
Event Co-Ordination
- Help Plan and Co-ordinate all events offered by Ecological Building Systems including:
- Assess and collaborate with relevant team members regarding proposed events assisting in prioritising these events
- Set the event calendar for the year with our marketing team.
- Book Venues when required.
- Liaise with relevant vendors required for the smooth running of each event.
- Responsible for the logistics of getting displays, sample and literature to and from each event.
- Arrange internal speakers and assist with external speakers as required.
- Send email reminders to potential attendees.
- Ensure that everything runs smoothly on the day
- Post event follow-up with feedback requests and analysis.
HubSpot CRM System
- Manage and maintain HubSpot in collaboration with the technical team, ensuring all contact data is complete, up to date and compliant.
- Support the technical team to ensure all relevant technical specifications projects are proactively added to HubSpot.
- Support the technical team to ensure technical specifications are actively monitored and moved through the ‘Specification Deal Pipeline’.
- Generate ‘Spec Deal’ reports and analysis and organise bi-monthly ‘Spec Deal Reviews’ to ensure spec deal progression to the sales pipeline.
- Provide technical assistance to the team as and when necessary, in relation to user engagement and interaction with HubSpot
Technical Team Support
Provide general administration and support to the remote technical team including:
- Schedule and arrange review meetings, site visits, tool-box talks, training requests etc.
- Support with product sample requests, datasheets etc.
- Co-ordinate technical teams’ attendance at external conferences and events.
- Schedule technical team meeting, minute taking and circulation.
- Updating and maintaining CPD presentations in conjunction with the technical team.
- Coordinate staff training as and when necessary both with new staff and as we launch new products with our partners
Qualifications and Experience:
- A bachelor's degree in business administration or a related field or equivalent may be advantageous.
- 5+ years’ experience in business administration, sales support or similar.
- Computer literacy (MS Office), experience with CRM systems.
- Knowledge of construction industry and/or keen technical interest would be useful but not essential.

Other duties may include:
- Some travel to external events.
- Arranging both in-house and external events.
- Supporting the marketing team with external customer comms.
- A clean driving licence is essential as travel may be required occasionally.
- As the company have offices in the UK as well as Ireland there will be some coordination with the UK Training and Events Co-ordinator as the need arises
